We at Christian Koenen GmbH, Otto-Hahn-Strasse 24, 85521 Ottobrunn-Riemerling (hereinafter: “Koenen”) maintain and operate the website https://www.christian-koenen.de (hereinafter: “Website”) and the online shop at http://shop.ck.de (hereinafter: “Online Shop").

Maintaining and operating the Website and the Online Shop is reliant in part on certain personal data being processed.

We take the protection of your personal data very seriously and observe the pertinent data protection regulations. Under no circumstances are the data collected via the Website/Online Shop sold to another party. They are also not passed on to third parties for any other reason, provided nothing is stated to the contrary below.

If necessary, you will be asked to give your consent to the processing of your data in accordance with data protection law. This is done by checking the respective box in the declaration of consent, which enables us to process your personal data as described below. You may withdraw this consent at any time with future effect. Withdrawing consent does not affect the lawfulness of any data processing that took place between consent being given and being withdrawn. Consent may be withdrawn, e.g. in writing, by email, or over the phone; please see the contact details under item 7.2. Should you decide to withdraw your consent, your personal data will no longer be processed and will instead be deleted, provided there are no legal provisions permitting the continued processing of this data or preventing the data from being deleted.

1.    Collection and Storage of Personal Data; Nature and Purpose of their Usage
No (prior) registration is required to simply visit the Website and/or Online Shop.

1.1    Registering for a User Account through the Online Shop
Upon registering as a (new) customer for a user account, we will collect and save the following data in line with Article 6 (1) sentence 1 b) of Regulation (EU) 2016/679 – EU General Data Protection Regulation (GDPR) in order to set up your user account (mandatory information):
•    user name
•    your chosen password
•    email address
•    country

Besides this mandatory information, you can also choose to provide additional information related, at least in part, to your company, your institute or your facility. We also use these data to set up your customer account and also offer you a better service in terms of queries or orders in accordance with this data protection statement (= legitimate interest) in line with Article 6 (1) sentence 1 f) of the GDPR.

The data are deleted as soon as you inform us that the user account is to be canceled, unless we are entitled to continue storing the data for another reason.

1.2    Online Ordering System – Obtaining Offers in the Online Shop
We use an online ordering system in our Online Shop, which enables you to obtain offers.
If you would like to obtain an offer, you first have to register pursuant to item 1.1. We process the data provided by you here in order to put together an individual offer in line with Article 6 (1) sentence 1 b) of the GDPR.

Once you have given your consent, the data you provide will be permanently stored in our CRM system for the purposes of customer care including promotional measures (legal basis in this case is Article 6 (1) a) of the GDPR). You may withdraw your consent at any time with future effect. Should you choose to do so, your data will no longer be processed for these purposes.

1.3    Newsletter
You can subscribe to our electronic newsletter by entering your email address into the respective form on our Website and submitting the form to us. Besides the mandatory information (email address ), you can also choose to provide additional information (your first and last names). We will then send you an email asking you to confirm that you are the holder of the email address provided and are happy to receive the newsletter (double opt-in; legal basis for sending the newsletter is, in this case, Article 6 (1) sentence 1 a) and b) of the GDPR).

Once you have given your consent, the data you provide will be permanently stored in our CRM system for the purposes of customer care including promotional measures (legal basis in this case is Article 6 (1) a) of the GDPR). You may withdraw your consent at any time with future effect. Should this be the case, your data will not be processed further for these purposes. Furthermore, we will send you electronic newsletters as appropriate within the context of the statutory regulations, also without first obtaining separate consent if you have already provided us with your email address when placing an order in our Online Shop (our interest in direct advertising is a legitimate interest; legal basis is Article 6 (1) f) of the GDPR).

You may unsubscribe from the newsletter at any time and/or object to   the further use of your email address for the newsletter by clicking on a link found in every newsletter or by submitting a declaration in writing, by email or over the phone; see the contact information specified under item 7.2. In this case we will delete your email address. We will also delete the email address if it is apparent that it is not or no longer correct. If you have not subscribed to the newsletter, we will also delete your email address 1 months after obtaining it. We will only not delete an email address if we are entitled to continue saving it for another reason or if we are obliged to save it based on a legal duty to preserve records.
We automatically collect and store the data listed below when you visit the Website and/or the Online Shop, also without the user having registered or entered data of any kind:

1.4    Log Files
The log file information specified below is automatically collected and stored upon accessing the Website or Online Shop. Data is processed in line with Article 6 (1) sentence 1 b) and f) of the GDPR. This is done in performance of a contract or pre-contractual measures as well as to ensure a smooth connection and ease of use of the website, to analyze system security and stability, and for other administrative purposes (= legitimate interest).

The following information is automatically recorded:
•    browser type and version
•    operating system used
•    referrer URL (website that led you to our site)
•    host name of the accessing computer
•    time of server inquiry
•    IP address

These data are stored separately from any personal data you may have provided; we cannot assign them to specific individuals. Once they have been analyzed – within seven days at the latest – the data are then deleted.

1.5    Cookies
Our Website and Online Shop use so-called cookies. Cookies are small text files that are stored on your computer and saved by your internet browser. When you revisit a Website, your browser notifies the server of the text contained in the previously stored cookie. Besides specifying its respective storage time, a cookie usually contains information regarding your individual system settings or a random sequence of characters that acts as an ID number and allows us to recognize your browser if it accesses our Website anew, thus linking it to a previous visit.

Most of the cookies used by us are so-called session cookies, which are automatically deleted after you have visited the Website. Alongside this, we also use the following cookies: Google Analytics (ga – storage time: 2 years, _gat – storage time: 1 minute, _gid – storage time: 1 day) as well as a cookie that is used to inform visitors to our Website that cookies are used (tx_cookies_hidden) (storage time: 1 year). More information on Google Analytics can be found under item 1.6.1. Cookies do not do any damage to your computer and do not contain any viruses.

The cookies used by us are required to facilitate the technical implementation of interactive user functions. For example, cookies enable the content of your virtual shopping basket to remain intact over several web pages. We also use cookies in accordance with this Data Protection Statement to optimize the availability of our services without incurring any technical errors. The data processed by cookies are required for the purposes stated in order to safeguard our legitimate interest and that of third parties in accordance with Article 6 (1) sentence 1 f) of the GDPR.

Besides this, we also use cookies to record statistical data about the general user behavior of our users. Evaluating this data gives us a better understanding of our users’ needs and enables us to continue developing our Website in a targeted manner and generally improve the user experience. These cookies do not, however, contain any personal data and will also not be linked to any such data.

1.6    Analysis Tools
We use the following analysis tools on our Website and in the Online Shop:

1.6.1    Google Analytics
We use Google Analytics, a web analysis service provided by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA (“Google”). We have concluded a data processing contract with Google for this purpose. Google Analytics uses cookies, i.e. text files that are stored on your computer and allow your use of the Website and the Online Shop to be analyzed. The information on your use of this Website generated by the cookie will normally be transferred to a Google server in the US and stored there. If IP anonymization is activated on this Website and/or Online Shop, your IP address will first be abbreviated by Google within member states of the European Union or other states party to the Agreement on the European Economic Area. The full IP address will only be transferred to a Google server in the US and abbreviated there in exceptional cases. The IP address transmitted by your browser as part of the Google Analytics process will not be merged with other Google data. Google will use this information on our behalf to analyze your use of the Website and Online Shop, compile Website and Online Shop activity reports and provide us with further services related to Website/Online Shop and internet use. These purposes constitute our legitimate interest in data processing. 1.6.2    Google AdWords Conversion Tracking
In order to gain a statistical overview of the use of our Website/Online Shop and to optimize our Website/Online Shop, we also use Google’s conversion tracking tool provided by Google AdWords. We have a legitimate interest here within the meaning of Article 6 (1) sentence 1 f) of the GDPR. Google AdWords is an online advertising program provided by Google. With conversion tracking, Google AdWords installs a cookie (see item 1.6) on your computer if you access our Website via a Google advert.

These cookies lose their validity after 30 days and are not intended for personal identification purposes. If the user visits certain pages of this Website/this Online Shop and the cookie has not yet expired, Google and Koenen can see that the user has clicked on an advertisement and was then redirected to our Website.

Every AdWords customer receives a different cookie. Cookies are thus unable to be traced across the websites of Google AdWords customers. The information obtained using the conversion cookie serves to compile conversion statistics for Google AdWords customers who have opted for conversion tracking. Google AdWords customers are able to find out the total number of users who clicked on their advertisement before being redirected to a page furnished with a conversion tracking tag. They do not, however, receive any information that can be used to personally identify users.

If you do not wish to be included in the tracking process, you may also prevent the cookie required for this purpose from being stored – for example by deactivating the automatic storage of cookies in your browser settings. 2.    Transmitting data to third parties / third-country transfer
With the exception of the recipients named under item 1 above, your personal data will be disclosed or forwarded, where necessary, to IT service providers. The IT service providers are carefully selected by us and work on our behalf as data processing companies.

We have no intention of sending your personal data to recipients in countries outside the European Union.

3.    Links to other Websites
Our Website contains a link to our Online Shop.

Furthermore, the Website and the Online Shop may feature links to websites of other service providers (e.g. YouTube). Upon clicking this kind of link, we have no more bearing on the processing of any personal data transmitted to a third party when following the link (such as the IP address). We cannot assume any responsibility for the processing of such personal data by third parties.

4.    Data Security
We have suitable technical and organizational security measures in place to protect your data against accidental or intentional acts of manipulation, full or partial loss, destruction or the unauthorized access of third parties. Our security measures are continually optimized in keeping with technological development.

To this end, we use SSL and/or TLS encryption. An encrypted connection can be identified in the address bar of the browser, which changes from “http://” to “https://”. A lock symbol is also shown in the browser bar. If SSL or TLS encryption is activated, the data that you send to us (e.g. when making orders or sending queries) cannot be read by third parties.
